Managing contract renewals

A renewal date sitting inside a PDF isn't a reminder - it's a landmine. Across even a handful of clients, auto-renewal clauses quietly re-up contracts nobody meant to keep, and notice windows close before anyone remembers to act. The renewal command center turns every contract's renewal date into a single, urgency-sorted pipeline, so instead of hunting through file names you get a live view of exactly what needs a decision this week versus what can wait.

Reading the board

Open Contracts → Renewal command center. Here's what you're looking at:

Three stat tiles up top

"Notice windows open" (act now or you lose the option to cancel or renegotiate), "Renewals in 120 days," and "Auto-renewing (later)."

Five buckets by urgency

Contracts renewing within 120 days are grouped into Notice window open, Next 30 days, 31-60 days, 61-90 days, and 90+ days.

What's on each card

Vendor, contract title, renewal date and days remaining, a "notice by" date if the contract requires advance notice to cancel, the annual value, and an Auto badge if it auto-renews.

Taking action on a contract

Renew or Renegotiate

The two primary buttons on every card.

The ⋯ menu

Cancel, Hand to client (push the decision to the client rather than deciding yourself), Snooze 14 days, or Snooze 30 days.

What happens when you click one

Every action creates a task (visible in Tasks) so the decision has an owner and a paper trail. Snooze also pushes the contract's renewal date forward by the chosen number of days, which drops it down the urgency list.

Worth knowing: there's no automatic email or notification when a renewal enters its notice window - this is a dashboard you check, not an alert that comes to you. Make opening this tab a weekly habit (or assign someone to own it) so nothing slips.

Where renewal dates come from

Every date on this board traces back to a contract record - see how to add a contract if you haven't got your vendor agreements into RiskBee yet. Once they're in, see understanding contract spend for the financial view across the same data.
